Registration Procedures

Buses will be directed to the Education Parking Area for unloading.

The Lead Teacher from your school should proceed to the Registration Tent located near the Education Gate.  All other members of the school group should remain on the bus at this time.

At the Registration Tent, the Lead Teacher of each school will submit 2 copies of the Attendance Summary Form (found on web).  This will confirm the numbers which could vary from your registration form that you sent in the Spring.

For schools requiring an invoice with payment to follow, one will be issued and the cheque for that amount is to be mailed within 5 days.  Schools with the cheque will receive a receipt.

After parking, and while the Lead teacher is completing the registration process, an Education Greeter will board the bus

Everyone will then exit the bus and go to the corral area to meet their teacher who will take them through the Gate and into “The Roseville Corral” area.

Schools arriving by private vehicle should gather with the Lead teacher who, with an Education Greeter, will confirm participants and hands will be stamped before admission through the Gate is allowed.

Once through the gates, you will pass through the Departure Area and see the bus numbers displayed on the fencing.  Groups are free to circulate throughout the entireTentedCitywith their chaperones.

Reloading/Departure

In the afternoon, when students begin returning, they will be reminded to line up in front of their bus number in the Departure Area.  Bus numbers will be clearly displayed on the fence as well as listed at the beginning of each aisle.

Once the Lead Teacher confirms that the group is ready to board, an Education Volunteer will lead the group to the Gate.  Once through the Gate, an Educational Greeter will assist you in returning to your bus.

When loading has been completed and the bus is ready to leave, the Bus Guide personnel will give the okay to the driver once the route is clear.

Our overall focus in these procedures is student safety.  Our goal is to ensure that everyone has a safe and enjoyable experience at the IPM.

Field Trip Guidelines

Welcome to IPM 2012.  We’re excited to have you join us.  If at any time during your visit you require assistance, please look for an IPM Volunteer.

  1. Lost Person/Children should be directed to IPM Volunteers (identified by their clothing).  If you are looking for a lost child, proceed to a Lost Child station and through radio contact with the OPP, we will arrange for the parties to re-unite.
  2. Student Safety – Climbing on equipment, bales and fencing is not permitted because of the risk of injury and damage.  Horseplay can result in injury to themselves and others.
  3. Conduct around animals – Animals are not pets.  Care must be exercised.  Shouting, approaching animals without the permission of the handler or causing disruptions can result in injury.  Permission must be obtained from the handler before approaching an animal.  Hands should be washed with hand sanitizer  upon exiting the Animal’s tent.
  4. Clothing – To fully enjoy the IPM, please come prepared for all forecasted weather.  As many of the activities are outdoors, please consider wearing and/or bringing the following items:
    1. comfortable clothing suitable for the weather
    2. sunscreen, hat
    3. close-toed, comfortable footwear
    4. raincoat, rain pants, boots (if raining)
    5. insect repellent, hand sanitizer, personal medication
    6. a knapsack for storing additional clothing items and lunch as students will not be able to return to the buses until departure
  5.  Weather – Farmers work rain or shine, so does the Plowing Match.  In the event of inclement weather, wear your rain gear and watch for puddles.  Many of the exhibits are under tents or canopies, and some alterations may be made for parking.  There are no rain dates.
  6. EMS/First Aid – Sites will be available throughoutTentedCity.
    1. Allergies: Please be advised that there will be various potential allergens throughout the match site, ( e.g. animal fur, hay, grasses and bees).  Visitors with allergies should come prepared with appropriate medication as needed, such as inhalers, epi-pens, etc.
  7. Lost articles – The “Lost and Found” area is located in the OPA/Tri-County Tent.  Anything found in the Roseville Corral area will be taken to the Registration Tent.  Students’ name and school should be on their clothing and knapsacks.  The IPM is not responsible for lost items.
  8. Food Services – Food vendors are on site.  Rest areas are available for those bringing lunches.  The Roseville Corral has picnic areas for those wishing to take a break.
  9. Recycling and garbage containers are provided for the convenience of visitors and to maintain a clean site.  Recycling is a high priority and we would appreciate your efforts to utilize the containers provided.
  10. Special Needs/Accessibility – Please consider that this venue has limited accessibility for physically challenged.  TheIPMTentCity is built on farmland.  Compare the terrain to the playground.  Is the student’s mobility confined to the school pavement area, or safely navigating across the grass with the assistance of classmates or aides?
  11. Special Needs Care Area – This has been set up in the Lifestyles Tent.  Accessible portable handicap washrooms will also be located at The Roseville Corral as well.
  12. Sanitation/Washrooms – Port-a-potties will be at The Roseville Corral and various other locations throughoutTentCity.  Anti-bacterial handwash dispensers will also be adjacent to the washrooms.
  13. Safety/Security – OPP, Fire and EMA are all represented inTentCity.
  14. Vehicular Traffic – Vehicles withinTentCity are restricted to the Service Roads.  Please take additional precautions as pedestrians crossing these areas
  15. Student passports – The framework will be posted on the web site for the teacher to design according to the grade level.  Check the link for information and instructions in order to create one.  There will be the 4 Education Tents in the Roseville Corral as well as other Education Tents located throughout the Tented City.  They will be identified by our mascot picture “Patches”, our scarecrow.  Information and outline will be given in our newsletters and school map placed on the website.
  16. Child’s School Tag:  Please have each student up to and including Grade 8 wear a school identification tag at the IPM.  It does not need the child’s name, just the name of your school and a place for us to record bus number.

Teacher Checklist

Before the Match, have you:

* Reviewed the IPM Teacher’s Guide?

* Prepared your class appropriately for expected weather?

* Provided the school name tag and place to record the bus number we will assign upon arrival.

* Given an Education Parking pass to people driving their own vehicle and advised them to arrive with the bus.

**These passes must be used to gain admission to the School Bus Parking area.

On the Day of the Match, have you:

* Filled out 2 Attendance Summary Form to bring with you? (found on Registration Link) – one will be your invoice to take back and one will be for Registration to keep

* Brought the cheque for payment with you, if your Board allows that method of payment rather than invoiced?

* Told your students and chaperones to take all their belongings with them because they cannot return to the bus?

* Put school name tag on each child (up to and including Gr. 8)

* Given everyone a time to meet back at “The Roseville Corral”?  They will be called to the Departure Area when the teacher lets the volunteer using the megaphone know it is time to line up at their bus number
